Terms of Service

Effective Date: September 4, 2025

Welcome to Poptronic VR (“we”, “our”, or “us”). These Terms of Service (“Terms”) govern your access to and use of our virtual reality (VR) rental services, including our website, equipment, and support (“Services”). By renting or using any of our VR equipment, you agree to these Terms.

Please read these Terms carefully before placing an order or using our Services.

 

1. Eligibility

To rent VR equipment from Poptronic VR, you must:

  • Be at least 18 years of age;

  • Provide valid government-issued identification;

  • Agree to provide accurate billing, shipping, and contact information.

We reserve the right to refuse service to anyone for any reason at any time.

 

2. Rental Terms

  • Rental Period: Your rental period begins on the date of delivery or pickup and ends on the agreed return date.

  • Usage: All equipment must be used responsibly and according to manufacturer guidelines. Equipment may only be used at the address provided at booking unless otherwise authorized by Poptronic VR.

 

3. Equipment Responsibility

By accepting the rental, you agree that:

  • You are responsible for the care, safekeeping, and return of the equipment in its original condition.

  • You will not attempt to modify, disassemble, or repair the equipment.

  • You will protect the equipment from damage, theft, or loss during the rental period.

You are financially liable for any loss, theft, or damage outside of normal wear and tear. Poptronic VR will assess the damage and determine repair or replacement costs based on current market value.

 

4. Booking, Payment & Security Deposits

  • Payment: Full payment, including any applicable security deposit, is due at the time of booking unless otherwise arranged.

  • Security Deposit: A refundable deposit may be required, depending on the equipment rented. Deposits are typically returned within 7 business days of the equipment being returned and inspected.

  • Cancellations:

    • 100% refund if cancelled 3+ business days before the rental start date.

    • 50% refund if cancelled within 1–2 business days of rental start date.

    • No refund for same-day cancellations or no-shows.

 

5. Late Returns

Late returns disrupt service for other customers. Fees are applied as follows:

  • $50 per day for late returns on standard packages

  • $100+ per day for premium or multi-set rentals

After 7 days past due, the equipment is considered lost, and the full replacement cost will be charged to your account.

    Support hours: Monday–Friday, 9:00 AM – 6:00 PM EST

We do our best to ensure seamless experiences but do not guarantee uninterrupted use of the equipment. Internet access may be required for certain VR content and is the responsibility of the renter.

 

7. Limitation of Liability

By using our equipment, you agree that Poptronic VR is not liable for:

  • Any injuries, accidents, or health issues (e.g., motion sickness, dizziness) arising from use of the VR equipment

  • Any loss or damage to personal property during VR use

  • Any interruptions or malfunctions caused by third-party software, internet issues, or hardware incompatibilities

Use VR at your own risk. It is your responsibility to ensure the play area is safe and free of obstructions.

 

8. Privacy Policy

Poptronic VR values your privacy. Any personal data collected during the rental process is handled in accordance with our Privacy Policy. We do not sell or share your data with third parties except as required to fulfill your rental or by law.

 

9. Termination of Service

We reserve the right to cancel or terminate any rental or customer account at our sole discretion, particularly in cases of:

  • Fraudulent activity

  • Abuse of equipment or support staff

  • Violation of these Terms

 

10. Changes to These Terms

We may update these Terms periodically. Any changes will be posted on our website with a revised effective date. Continued use of our Services after updates indicates your agreement to the revised Terms.

 

11. Governing Law

These Terms shall be governed by and interpreted under the laws of the Province of Ontario, Canada. Any disputes will be handled in the appropriate courts within Ontario.
